MPPM REMOTE WORK POLICY

POLITIQUE DE TRAVAIL À DISTANCE – ENGLISH VERSION


1. PURPOSE & PHILOSOPHY

MPPM operates as a fully remote-first creative agency. This policy establishes guidelines for all team members to ensure seamless collaboration, maintain productivity, and foster a healthy work-life balance across global time zones.

We believe exceptional work happens when talented people have the freedom to work from environments where they’re most creative—without sacrificing accountability, communication, or team cohesion.


2. WORK ARRANGEMENT & FLEXIBILITY

Core Hours:

  • MPPM follows a flexible work arrangement with core collaboration hours from 10:00 AM – 2:00 PM (São Paulo Time / UTC-3) to ensure real-time team synchronization
  • Team members outside São Paulo adjust accordingly to their local time zones
  • Work can be completed outside core hours based on project deadlines and personal preference

Workspace:

  • Employees may work from any location with stable internet connectivity (home, co-working space, coffee shop, etc.)
  • Home office setup is encouraged with company support for necessary equipment

3. EQUIPMENT & TECHNOLOGY

MPPM Provides:

  • Laptop/Desktop (or equivalent budget allocation)
  • Software licenses required for job functions
  • Monthly stipend for internet/technology costs ($50 USD or local equivalent)

Employee Responsibility:

  • Maintain secure internet connection (minimum 10 Mbps download speed recommended)
  • Use company-approved VPN for any sensitive data access
  • Keep all devices updated and protected with security software
  • Report technical issues immediately to IT support

4. COMMUNICATION & COLLABORATION

Communication Standards:

  • Primary tools: Slack, email, Google Workspace, Figma, and project management software
  • Response time expectations:
    • Urgent (same-day): 2-4 hours during business hours
    • Standard: 24 hours during weekdays
    • After-hours/Weekends: No immediate response expected unless emergency

Meetings:

  • Synchronous meetings scheduled during core hours when possible
  • Asynchronous updates via Slack threads and documentation preferred to minimize meeting fatigue
  • Video-on expected for project kick-offs, client presentations, and weekly team syncs
  • All meetings recorded for team members in different time zones

Documentation:

  • All decisions, processes, and project details documented in shared drives (Google Drive, Notion, or equivalent)
  • Clear communication minimizes back-and-forth and supports team members across zones

5. WORK SCHEDULE & TIME TRACKING

Expectations:

  • Full-time employees: 40 hours per week (flexible distribution)
  • Part-time/Contract: Hours as agreed in employment contract
  • No mandatory “clock in/clock out” system—work judged on deliverables and collaboration quality

Time Off:

  • Flexible work hours do NOT eliminate break time or vacation days
  • Employees encouraged to take regular breaks to prevent burnout
  • Vacation requests submitted at least 2 weeks in advance via HR system
  • Sick days reported as soon as possible via Slack and email to manager

6. PRODUCTIVITY & DELIVERABLES

Focus:

  • Output-based performance measurement (design quality, copy effectiveness, project completion)
  • Regular 1:1s with managers (bi-weekly minimum) to track progress and blockers
  • Weekly project updates in sprint meetings

Accountability:

  • Clear project deadlines and deliverable specifications agreed upfront
  • Transparent progress tracking through project management tools
  • Regular feedback loops—no surprises at review time

7. COLLABORATION ACROSS TIME ZONES

MPPM operates across multiple continents (Brazil, USA, potentially LATAM):

  • Respect for different time zones—no expectations for availability outside reasonable hours
  • “Async first” approach: important updates documented and shared asynchronously
  • Rotating meeting times when possible to distribute inconvenient hours fairly
  • Over-communication encouraged to prevent misalignment

8. DATA SECURITY & CONFIDENTIALITY

Security Obligations:

  • All company and client data handled with strict confidentiality
  • Work only on company-approved devices and networks
  • Use VPN for any sensitive data access
  • Never work on public wifi without VPN for confidential projects
  • Regular password updates; enable two-factor authentication on all accounts
  • Lock devices when away, even briefly

Compliance:

  • All team members sign confidentiality/NDA agreements
  • Breaches reported immediately to management
  • GDPR and local data protection laws strictly observed

9. WORK-LIFE BALANCE & BURNOUT PREVENTION

MPPM Commits To:

  • Reasonable workload distribution—no chronic “crunch mode”
  • Support for mental health and well-being
  • Flexibility to manage personal appointments without guilt
  • Respect for “offline” time (no Slack messages expected after hours)
  • Regular check-ins on workload and stress levels

Employee Responsibility:

  • Set clear boundaries between work and personal time
  • Communicate when workload becomes unsustainable
  • Use vacation days and breaks without guilt
  • Participate in team-building activities (virtual and occasional in-person gatherings)

10. PERFORMANCE REVIEWS & CAREER DEVELOPMENT

Annual Reviews:

  • Conducted via video call with manager
  • Based on: project delivery, quality of work, collaboration, growth, and contributions to company culture
  • Clear feedback on strengths and areas for development

Professional Development:

  • Budget allocated for online courses, certifications, and conferences
  • Mentorship and skill-building supported
  • Career path discussions held quarterly

11. COMPENSATION & BENEFITS

Pay:

  • Competitive salary based on role, experience, and market rates
  • Payment processed monthly via bank transfer
  • Clear breakdown of salary, benefits, and deductions

12. CONDUCT & PROFESSIONALISM

Expected Behavior:

  • Respectful communication across all channels
  • Professional conduct in client and internal interactions
  • Diversity, equity, and inclusion respected and actively supported
  • Zero tolerance for harassment, discrimination, or unethical behavior

Violations:

  • Minor issues addressed through conversation and correction
  • Serious violations (data breach, harassment, theft) may result in immediate termination
  • Clear escalation path for disputes

13. EQUIPMENT RETURNS & OFFBOARDING

Termination/Resignation:

  • All company equipment and access returned within 5 business days
  • Passwords changed; access revoked immediately
  • Final paycheck processed with accrued vacation payout (where applicable)
  • Exit interview conducted to gather feedback

14. POLICY UPDATES

15. AGREEMENT

All team members are expected to read, understand, and agree to this policy as a condition of employment. Signing this policy acknowledges understanding and commitment to these standards.
